Voice agents that answer the calls you are missing

For a lot of small businesses the phone is still where the money comes from, and a missed call is a customer who rings the next name on the list. A voice agent answers when you cannot — takes the details, books the slot, and passes on anything it should not handle alone.

Every missed call is a customer who called someone else

If you are on a job, with a client, or serving someone at the counter, you cannot answer the phone. That is not a discipline problem, it is arithmetic — and it is the single most expensive gap in a lot of small businesses. The caller does not leave a voicemail. They ring the next result.

The usual fixes are an answering service that does not know your business, or voicemail that most people will not use. A voice agent grounded in your prices, hours and availability sits somewhere better: it actually answers the question, and it books the work.

Signs this applies to you

  • Calls come in while you are mid-job and go unanswered
  • Voicemail is full of hang-ups rather than messages
  • Most enquiries are the same few questions about price and availability
  • People call outside your opening hours and never call back
  • Booking a slot requires a back-and-forth conversation
  • You are paying an answering service that just takes names
The work

What building a voice agent involves

Phone callers are less forgiving than web visitors. Scope stays tight and testing is heavier as a result.

Deciding what it handles and what it does not

A narrow, well-defined job — answering routine questions, taking booking details, capturing an enquiry properly. Anything complicated, upset or unusual goes to you, and we define exactly where that line is before building.

Grounding it in your real details

Your hours, prices, service area, lead times and the answers to the questions you actually get asked. Wrong information delivered confidently down the phone is worse than no answer at all.

Booking and calendar connection

Where it makes sense, the agent checks real availability and books the slot, rather than promising a call back. This is where most of the value is for trades, clinics and anyone selling appointments.

Handover to a person

A clear path to you or to a message, triggered by uncertainty, by an unhappy caller, or on request. Nobody should ever feel trapped talking to software.

Testing on real calls

We call it. Repeatedly, from different phones, with accents and interruptions and background noise and awkward questions. You listen to the recordings and sign off before it takes a live call.

Reviewing what it heard

Transcripts and recordings for the first weeks, so gaps get closed early. Call logs also tend to reveal what customers actually want, which is frequently not what the owner assumed.

Outcomes

What changes

The measurable one is simple: how many callers get an answer instead of a ringtone.

  • Calls answered while you are working, after hours and at weekends
  • Routine price and availability questions handled without you
  • Bookings taken directly rather than promised as a call back
  • Enquiry details captured properly instead of half-remembered
  • Fewer interruptions during work that needs your attention
  • A log of what callers actually ask for

Voice Agents: common questions

Will callers know they are talking to AI?

Yes, and we recommend being straightforward about it. Trying to pass a voice agent off as a person backfires the moment it hits something it cannot handle, and it damages trust in a way that is hard to repair. Callers are generally fine with it when it answers their question quickly and offers a person when needed.

What if it mishears someone or gets it wrong?

It will sometimes, particularly with names, addresses and poor phone lines. That is why we scope narrowly and design confirmation into anything that matters — repeating back a booking time, spelling out an address. Where accuracy is critical, the agent takes details and a person confirms rather than committing on the call.

Can it replace my receptionist?

That is not what we are usually hired for, and we would be cautious about it. Where these work best is covering the hours nobody is on the phone, and taking the repetitive calls so the person who does answer is free for the ones that need judgement. If your goal is removing a role, say so on the call and we will tell you honestly whether it is realistic.

Do I keep my existing phone number?

Yes. The agent sits behind your existing number, and how it triggers is up to you — every call, only after hours, or only when you do not pick up within a few rings. Plenty of clients start with after-hours only and expand once they have heard how it handles real calls.

What does it cost to run?

There is a setup cost and then a running cost that scales with call volume, usually billed by the minute. For most small businesses the monthly figure is well under what a part-time person or an answering service costs, but it is genuinely volume-dependent, so we work it out from your actual call numbers rather than quoting a range.

Not sure whether AI is worth it for your business?

That is exactly what the free call is for. Fifteen minutes, no pitch — if AI is not the right answer for your situation, we will tell you so.
