We build what we recommend, so we find out what breaks

A tool that looks impressive in a demonstration and falls over under a real workload is something you discover by wiring it up, not by reading its marketing page. Everything suggested here comes from someone who has had to make it actually work.

That gives us an unfashionable bias: we are far more interested in whether something removes real hours from your week than in whether it uses an impressive model. Plenty of the advice we give involves no AI at all, and some of it is “do not buy that”.

It also means we are the ones on the hook. There is no account manager between you and the person doing the work, which is a constraint on how much we can take on and the reason we would rather turn down a project than half-do it.

What does an AI consultant actually do for a small business?

We find the work in your business that does not need a human doing it, then put something in place that handles it. Sometimes that is an off-the-shelf tool you can run yourself. Sometimes it is a rebuilt website, a chatbot trained on your own information, a voice agent answering the phone, or an automation connecting two systems. The point is the fix, not the technology — most of the value is in removing copy-paste work.

Is my business too small for AI automation?

Usually not, but sometimes yes, and we will tell you which. If one person spends five hours a week on a repetitive task, that is roughly 250 hours a year, and it is normally worth fixing. If the task happens twice a month and takes ten minutes, it is not. The free discovery call exists partly to sort those two cases apart before anyone spends money.

How much does AI automation cost?

It varies enormously with scope. Many of the fixes we recommend are off-the-shelf tools costing tens of dollars a month, which is why the AI Tools Assessment exists — it prescribes those first. Custom work built around your own systems runs into the thousands. The $999 assessment gives you real numbers for your situation rather than a range like this one.

Do I need to replace the software I already use?

Almost never. Most of what we build sits on top of the tools you already run — QuickBooks, Xero, your CRM, your email, your spreadsheets — and moves information between them. Ripping out working software to install something new is expensive and disruptive, and we avoid recommending it unless the existing tool is genuinely the bottleneck. Websites are the common exception, because an old site is often cheaper to rebuild than to keep patching.

Will AI replace my staff?

That is not what we are hired to do, and it is rarely what happens. What we see instead is a small team that was drowning getting back the hours they were losing to admin, and using them on the work that actually needs judgement — client relationships, review, exceptions. If your goal is specifically headcount reduction, we are probably not the right firm.

Do you work with businesses outside Katy and Houston?

Yes — every engagement runs over video, so where you are makes no difference. We are based in Katy, Texas and work with clients anywhere in the United States on the same terms. Nothing about this work needs anyone in the room, and a shared screen shows us more than a meeting table would.
